Are you an experienced import and logistics professional with strong knowledge of customs regulations and supply chain operations? We are looking for an Assistant Import Administrative Manager to lead and optimize our import operations while ensuring compliance, efficiency, and seamless coordination across internal and external stakeholders.
Job Summary
Manage and oversee all import and export operations to ensure the timely, compliant, and cost-effective movement of goods. Lead import administration, customs clearance, inventory planning, and logistics activities while ensuring compliance with customs, FDA, and other regulatory requirements. Collaborate closely with internal stakeholders, government authorities, and external logistics partners to optimize supply chain performance, maintain optimal inventory levels, and support business continuity through efficient and reliable import operations.
Key Responsibilities:
- Manage and oversee all import and export operations to ensure the timely, compliant, and cost-effective movement of goods while continuously improving operational efficiency and accuracy.
- Supervise the preparation and review of all import and export documentation, including Invoices, Packing Lists, Bills of Lading (B/L), Air Waybills (AWB), Import/Export Entries, Delivery Orders (D/O), Certificates of Origin (CO), Shipping Instructions (SI), and other related documents. Lead and develop Import & Export Operations team to achieve operational KPIs, service standards, and regulatory compliance.
- Monitor shipment status, customs clearance, delivery schedules, and container returns while proactively resolving operational issues and minimizing delays. Ensure the accuracy and completeness of shipping documentation and customs clearance processes in compliance with customs regulations, FDA requirements, and international trade laws.
- Coordinate with customers, suppliers, freight forwarders, shipping lines, airlines, customs brokers, and relevant government authorities to ensure smooth and timely import and export operations.
- Manage inventory planning and stock levels to ensure product availability, optimize inventory turnover, and balance supply with business demand through close collaboration with Sales, Production, Supply Chain, and related functions.
- Build and maintain strong relationships with Customs, the FDA, the Department of Foreign Trade, and other regulatory authorities, as well as external logistics partners, to support efficient business operations.
- Prepare operational reports, analyze performance metrics, identify operational risks, and provide recommendations to management for continuous improvement. Identify opportunities to optimize logistics processes, reduce operational costs, and improve supply chain performance through continuous process improvement initiatives.
Qualifications :
- Bachelor’s degree or higher in Logistics, Supply Chain Management, International Trade, Transportation Management, Business Administration, or a related field.
- Minimum 5–8 years of experience in import/export operations, customs clearance, international logistics, or supply chain management, with supervisory experience preferred.
- Experience in the pharmaceutical, medical device, or medical food industry is highly preferred.
- Strong knowledge of import/export regulations, customs procedures, FDA requirements, international trade laws, and customs compliance.
- Experience with BOI privileges, tax refund processes, and customs-related regulatory requirements is an advantage.
- Strong leadership, planning, coordination, negotiation, and problem-solving skills.
- Analytical mindset with the ability to identify process improvement opportunities and drive operational excellence.
- Good command of spoken and written English and Thai. Proficient in Microsoft Office; experience with ERP or SAP systems is an advantage.
